Deadline: All rosters must be finalized 14 days prior to your event to ensure coverage by scouts and college coaches.
There are two ways to build your roster. Method 1 is highly recommended as it is the fastest way to get your players in front of college coaches.
Method 1: The "Search & Add" (Recommended)
This method is the most efficient. It ensures players are linked to their existing Prep Hoops scouts' notes and rankings.

Player Action: Direct your players to Claim or Create a Free Profile.
- Existing Profile: Search Name/State/Class → Claim.
- No Profile: Select Create Free Profile.
- Coach Action: Once profiles are created, log into your Program Dashboard.
- Find Your Team: Navigate to the Teams tab and select the specific team.
- Manage Roster: Under the Roster tab, go to the "Manage Roster" section.
- Search & Link: Type the player’s name. When their profile appears, click "Add to Roster."
What if the name doesn't appear? If a player does NOT have a Player Profile created, you will get a notification saying there is not a player name found. If their name is not listed, please have them create a player profile here so you can automatically add them to your roster.
Method 2: The "Manual Invite"
Use this method only if you prefer to trigger the process via email. Note: This requires more steps for the coach and the parent.
- Invite: In the Roster tab, locate "Invite Players."
- Enter Details: Input the player and parent contact information and send the invite.
- Player Acceptance: The player must find the email and Accept the invitation.
- Finalize: Once they accept, you must return to the "Manage Roster" tab, search for their name, and click "Add to Roster" to officially place them on the team.
Final Step: Jersey Numbers & Star Players
Once players are added, you must complete these two steps for maximum visibility:
- Jersey Numbers: Enter accurate numbers so scouts can identify players on the court.

Star Players (Top 3): You may "Star" up to three (3) players per team.
- Why? These selections guide our content and marketing teams for potential event coverage. While it doesn't guarantee coverage (and doesn't exclude others), it highlights your top college prospects for our scouts.
How To Complete Your AES Roster
In addition to completing your roster in the Prep Dig system, all programs must ensure their rosters are fully submitted and up-to-date within the Advanced Event Systems (AES) platform for tournament scheduling and compliance.

We receive constant feedback from Programs and Parents regarding coverage. If we do not have a full and completed roster, our Scouts and attending College Coaches do not have accurate information for scouting opportunities. Any feedback regarding lack of coverage or scouting visibility will be directed back to the Program Director and Coaches to ensure roster completion was met.
